How to Configure Email in HS3

The HS3 software is capable of sending emails when triggers are activated or even scanning emails for keywords to then activate your events. We recommend using a Gmail account as HS3 has the advanced settings ready for Gmail, but you can use a different email provider if you prefer and know the SMTP settings for it. If you are unsure of those settings, use Gmail. 

The security settings outlined below must be adjusted as described for Gmail to work. Due to these security concessions, we recommend creating a new, dummy Gmail account exclusively for use with HS3.

Allow Less Secure Apps

  1. Visit, then log into your Gmail account.
  2. After logging in, you will see your profile picture or icon in the top right corner. Click on that, then blue Google Account button. 
  3. From here, click the Security section on the left-hand side of the screen.
  4. Scroll to the bottom of the page, and you will see the Less Secure App Access section. Click the Turn on access button.

About Multi-factor Authentication

It is generally a good idea to enable multi-factor authentication on any online account to prevent unwanted logins. However, having such a security feature enabled on your Gmail account will prevent your HS3 system from being able to access your account, unfortunately. 

Email Settings in HS3

Once you have configured your Gmail account per the requirements above, navigate to Tools > Setup in the HS3 web interface. From here, click the Email tab. 

Click the Use Gmail check box, then enter your full email address and password! You will always see four dots in the password field, this is a security measure so that passwords cannot be guessed based on length.

Activating Events with Email

When creating events, you will see the option IF A Received Email is From or Contains.... With this option you can create event triggers based on who is sending the email as well as certain phrases being present in either the body or subject of the email. 

There is one more setting which must be enabled for events with this trigger to function: Allow POP for all mail. This setting is found in a different location, which can be accessed with the steps below.

  1. Visit, then log into your Gmail account.
  2. After logging in, click the gear icon under your profile picture or icon. If you hover the cursor over it, it will say Settings. After clicking this, click the Settings section in the resulting menu.
  3. Click the Forwarding and POP/IMAP section near the top of the page.
  4. Click the radio button for Enable POP for all mail
  5. Under Tools > Setup in HS3, click the Email tab, then click the Check E-Mail check box.
